Digital signatures for European businesses

sproof sign is an Austrian platform for digital signatures, tailored to the needs of European companies. It offers legally valid, GDPR-compliant signing processes – including qualified and advanced signatures – hosted entirely within the EU.

As your implementation partner, we integrate sproof sign into your existing workflows – so documents are signed quickly, securely and without media breaks.

Which signature for which document?

The eIDAS regulation distinguishes three levels of electronic signatures:

  • Simple electronic signature – for example a typed name or a click on “Agree”; sufficient for low-risk internal approvals.
  • Advanced electronic signature (AES) – uniquely linked to the signatory, and any subsequent change becomes detectable. It is suitable for most business documents.
  • Qualified electronic signature (QES) – based on a qualified certificate and legally equivalent to a handwritten signature, even where the law requires written form (with a few exceptions).

sproof sign supports advanced and qualified signatures, including national eID providers such as A-Trust. Together we determine which level your documents need.

Typical use cases

sproof sign is particularly well suited to public administration, education, the legal sector and any organisation with high requirements for data protection and legally binding signatures:

  • Contracts and quotes – customers and partners sign from anywhere, and you can see the status at any time.
  • HR documents – sign agreements and confirmations digitally, even with several parties in a fixed order.
  • Approvals and minutes – batch signing and templates speed up recurring signatures.
  • Certificates – issued digitally and verifiable, for example in education.

How we introduce sproof sign

  1. Clarify documents and signature level

Which documents are signed, by whom and at which signature level?

  2. Set up

Roles, templates, signing orders, branding and single sign-on – matched to your processes.

  3. Integrate

Via the API and Frends, documents go to signing automatically from your DMS, ERP or CRM and come back signed.

  4. Roll out

Training for your team and a joint start with the first workflows.

For XISUITE, a direct connection to sproof is already planned.

Are digital signatures with sproof sign legally valid?

Yes. sproof sign complies with the EU eIDAS regulation. The qualified electronic signature (QES) is legally equivalent to a handwritten signature, and the advanced signature (AES) is sufficient for most business documents.

What is the difference between AES and QES?

The advanced signature is uniquely linked to the signatory and makes subsequent changes detectable. The qualified signature is additionally based on a qualified certificate, for example via an eID provider such as A-Trust, and also meets statutory written-form requirements – with a few exceptions.

Where are the documents stored?

Exclusively in European data centres. sproof sign is GDPR-compliant and, according to the vendor, also meets FDA 21 CFR Part 11, which is relevant for pharma and medical technology, for example.

Do signatories have to install anything?

No. sproof sign runs in the browser, so no installation is needed. For qualified signatures, signatories use their eID, for example via A-Trust.

Can sproof sign be integrated into our systems?

Yes. Via API and single sign-on, sproof sign fits into existing workflows. With Frends we connect it to a DMS such as Therefore, to ERP or CRM, so documents go to signing automatically and are filed once signed.
